Writing a task report

How to attach photos and write a report so your work is accepted without follow-up questions.

A report is what remains after you. In a year nobody will remember how you did the job, but they will open your report.

Two kinds

Interim reports can be added at any point, as many times as you need. Use them to record hidden work, show the site manager a problem, or ask a question with a photograph attached. The site manager can pull photographs from an interim report into the object passport — often those are exactly the ones needed there.

The final report is written once, when the work is done. It opens automatically from the Complete button and sends the task for review.

What to put in the final report

Describe the result, not the process. Check yourself with three questions:

  • What was installed or done — specifically, with material names

  • Where exactly — tied to a room, a wall, a level

  • To what specification — dimensions, heights, fixing centres, anything that cannot be seen on a finished surface

"Built the partition" is poor. "Partition between bedroom and hallway, 75 mm studs at 600 mm centres, 18 mm plywood ground for the TV bracket, centred 1200 mm above floor level" is good.

Photographs

Take a wide shot and details. Anything that will disappear under finishes must be photographed before it is covered — afterwards is too late.

Photographs from the final report go into the document the client receives.

After submitting

A report cannot be edited. If something needs adding, add another report.

The site manager will review the work and either accept it or send it back with a comment. If it comes back, open View comment — it says exactly what needs fixing.

Why this is in your own interest

A good report protects you. When a dispute comes up six months later about what was done wrong, your photographs and your description are the answer. Without them the argument runs on memory, and everyone remembers differently.
